BOARD OF DIRECTORS MONTHLY MEETING

AGENDA FOR August 13, 2026 | 6PM

1.             Call Meeting to Order: Robert Rules Statement

2.             Review & Approve Previous Meeting Minutes

                A. Approve regular meeting minutes for June

3.             Financial Reports – Jessica

                A. June & July Financial Statements - **Reminder, you can send an email at any time to request financial statements,

we are still working to have them added to our website, you must provide proof of residency of CFPOA Unit 1.

4.             Admin/Manager Updates & Reports –

                Housekeeping items;

A. Welcome New Members

                B. Pending Sales in Escrow

                C. If you notice there is a vacant house, please keep an eye out for them and let the Board know.

                D. If the dues from 2025 aren’t paid by September 1st, you will accrue a $50 late charge, and then after that the Board can legally file a lien. We do have a list of past due balances prior to 2025 that we will be actively working on

collecting.

                E. Create a $500 budget for supplies; this includes caulk, paint, concrete

                F. Create a $500 budget for office supplies

G. Vote: Approve $15/hour for help with preparing for Annual Meeting and mailing voting documents along with

finalizing voting and ballots at annual meeting - 2 Board Member Authorization

H. Vote: Approve $20/hour for ditch maintenance employees to aid in supporting our Irrigation committee when the

need arises.

                I. Need volunteers for Annual Meeting to be held at Rancho Belmontez – please email the support email if you are

                interested in volunteering at this event.

                J. Reminder-Please make sure your contact information is current with CFPOA Unit 1. Those who haven't sent in their updated Information form will get a reminder notice.

5.             Irrigation Report: - Britt

                A.  Reminder Violation letters are not just for irrigation water control; they are also for weed/grass/trimming control in

and around or above the ditch, and also for service roads.

B: Irrigation violation; mandatory classes – starting with anyone who has an irrigation violation.

1st offense is a warning letter,

2nd offense is a restriction with an irrigation class,

3rd offense is a fine/restriction, and so on.

*Violations have email notifications; the letter is coming. Phone calls are given for emergencies needing prompt

attention.

                C.  Reminder of volunteer opportunities & irrigation committee

               D.  Gate changes & Crossover instructions 

                E. Weed, tree, bush control in/around ditches – getting worse and more violation letters being sent, gophers are a

constant problem, please check your property regularly for gopher holes.

                F. Irrigation is a privilege; Arizona has been cut back for water and MWD will no longer receive water from the

Colorado River, MWD is going to be installing drop down gates to replace the current board systems which continually leaks. If you see water anywhere other than the irrigation ditches, call the Support Phone immediately then call down the list of Board Members until you reach someone. It has been made clear that if water is being wasted there will be repercussions. Do not call MWD under any circumstances; if MWD has to dispatch outside business hours it will be O/T.

                *Resa Rodney is the only authorized person to call MWD unless she is out of town and will then appoint someone in her absence.

6.             Old Business –

                A. CDs – Reinvesting; Reinvesting; on 8/17/26 we will increase a 2-month CD to a 4-month CD for a 1.8% higher interest

                 rate

                B.  Previously voted - to make standard MWD specs, of our current irrigation ditches - culvert ditch pipe installations,

irrigation ditch repairs, dimensions, Engineering documents

C. Speed bumps: looking to get the speed bumps - repainting darker paint or reflectors. Paint the whole speed bump, a reflective color as previous paint didn’t last.

E.  Ditch 3 damage notification – been repaired and with the Attorney to collect the charges for that

*Ditch repair product, asked Mark to make a list of what supplies to use: Sika Pro Select Concrete Fix, -Sikaflex + Polyurethan, non-sag crack repair sealant, Bonds to wet surfaces - 24hr green / 1hr wet – bonds to new concrete

-Note from Mark: “This works very well and lasts a long time. It stays pliable so it also works on the expansion joints still allowing them to expand and contract. The old stuff needs picked out first if there is any and crack must be cleaned out as well. A wire brush works. This stuff is available at Home Depot. (note make sure it is the NON-SAG) They also sell Self Leveling which will only work on the bottom. It will just run down the sides like water. If it is a large crack that is not an expansion joint, I use Cement. Not Concrete just cement. (no rocks or sand) so it can be pushed down in the crack.”

  F. Status of the restitution lien documents.  The lien restitution was returned – we needed to add additional

information.

7.             New Business –

                A. Vote; R&R revisions amended in August 2026 (on the website)

               B. Vote: Architectural Review Application – (on the website)

C. Vote; Architectural Review submitted and approved

D. Vote: Vactor services – update, Pro-pipe

E. MWD specs, of our current irrigation ditches - culvert ditch pipe installations, irrigation ditch repairs, dimensions,

Engineering documents are uploaded on the website.

F. Annual meeting 10am-2pm at Belmontez property + Campaign for Board members; supply a synopsis why they

  should be a Board member/about themselves and send it to the support email by September 1st.
